About the Project

The client sells rare plants online using Webflow, eBay, and Etsy. As sales increased, managing orders by hand became stressful and error-prone. They needed a single, reliable system to handle all orders, paperwork, and communication with customers.

The Challenge

Before automation, each order was printed out and processed manually. As order numbers grew, this led to delays, mistakes, and frustration. Some orders were shipped late, details got mixed up, and keeping up with paperwork took too much time. The business needed a central system that could handle everything automatically and help the team keep up during busy times.

Our Solution

We built a complete order management system using Airtable as the main hub, connected with Webflow, eBay, and Etsy through Make.com. Here’s what the system does:

  • All orders from every sales channel go into Airtable automatically.
  • For EU orders, the system creates required government paperwork in minutes, saving about 10 hours per week.
  • When it’s time to fulfill orders, the owner taps a button to generate a list of all plants to collect and pack.
  • The system creates invoices, packing slips, and shipping labels without manual work. Tracking numbers are sent back to the sales channels and to the customer.
  • Inventory alerts let the owner know if a plant is running low or out of stock.
  • For each order, AI selects a free gift plant tailored to the customer’s taste.
  • Customers get automated updates about their order status, plant care instructions, and follow-up emails after delivery.

The only manual step left is deciding when to batch and ship orders.

Results

  • Monthly order volume increased by 460% without extra staff.
  • Errors in shipping and order details dropped significantly.
  • The team now spends much less time on admin work.
  • Fulfillment is faster and communication with customers is smoother.
